Cancellation & Refund Policy

At Kolkata City Tour, we understand that travel plans can change. Please review the following cancellation and refund conditions before confirming your booking.

General Policy

  • Service-based travel products: kolkatacitytour.com offers tour packages, hotel bookings, transport services, city tours, excursions and guide services.
  • Cancellation calculation: Cancellation charges are calculated on the total booking value, not merely on the advance amount paid.
  • Written requests: All cancellation requests must be submitted in writing via email or an official communication channel.

Tour Package & Hotel Booking Cancellation

The following cancellation charges apply to tour packages and hotel bookings:

More than 60 days before departure Refundable Booking amount is refundable.
31–60 days before departure 50% Of the total tour cost charged as cancellation.
30 days or less before departure 100% Of the total tour cost charged as cancellation.

City Tour, Excursion & Day Tour Cancellation

The following charges apply to city tours, excursions and day tours, subject to the applicable booking conditions:

  • Before reconfirmation (7 days before arrival): Initial deposit of ₹1,000 per person is non-refundable.
  • After reconfirmation: 30% of the total service cost will be charged.
  • More than 5 days before arrival: 50% of the total service cost will be charged.
  • More than 3 days before arrival: 75% of the total service cost will be charged.
  • More than 24 hours before arrival: 90% of the total service cost will be charged.
  • Less than 24 hours before arrival or no-show: 100% of the total service cost will be charged.
Please note: If more than one cancellation condition appears to apply, please contact our team to confirm the applicable charge before relying on a refund estimate.

Refund Policy

  • Refunds, where applicable, will be processed after deducting the applicable cancellation charges.
  • Approved refunds will be credited to the original mode of payment.
  • Refund processing may take 7–14 working days, depending on the bank and payment gateway.

Company-Initiated Cancellation

If kolkatacitytour.com or Impression Tourism Services (India) Pvt. Ltd. cancels a tour or service due to unavoidable operational issues, safety concerns or other unavoidable reasons, a full refund will be applicable, with no cancellation charges deducted.

Force Majeure

Events beyond our control may affect travel arrangements, including but not limited to:

  • Natural disasters
  • Government restrictions
  • Adverse weather conditions
  • Strikes or transport disruptions
Refunds for cancellations arising from such events will be subject to the applicable supplier policies.
